What Is a Lens?
A Lens is a saved filter configuration — a personalised view of a dashboard that captures your selected Brand, Platform, Campaign, Category, and other filters so you can return to it instantly.
There are two types of lenses in PRISM:

Sidebar Navigation
The left-hand sidebar provides quick access to all lenses.
My Lenses Section
Your personal lenses are organised into folders — single-level groupings typically named after a brand or business unit (e.g., "Knorr", "Hellmann's", "B&W").
- Click the chevron (▸) next to a folder name to expand or collapse it.
- Click any lens name to navigate directly to that saved view.
- A filter box at the top of the sidebar lets you quickly search across all lenses by name.
Shared Lenses Section
Below My Lenses, the Shared Lenses section lists organisation-wide dashboards. These are managed by administrators and are visible to all users.
Saving a Lens
You can save your current filter configuration as a new lens at any time.
Prerequisites
The Save icon (?) in the lens header bar becomes active only when your current filters differ from the default configuration. If no filters have been changed, the icon is greyed out.
Steps to Save
- Apply the filters you want to save (Brand, Platform, Campaign, etc.).
- Click the Save icon (?) in the header bar.
- The Save as New Lens dialog opens.
Save Dialog Fields

- Fill in the required fields and click Save Lens.
- Your new lens appears in the sidebar under the selected folder.
Inline Folder Creation
If you need a new folder while saving:
- Click the + button next to the folder dropdown.
- The dropdown is replaced with a text input and a folder icon.
- Type the new folder name (e.g., "Dove").
- Click Save Lens — the folder is created automatically.
- To cancel, click Cancel to return to the folder dropdown.
Sharing a Lens
Lenses can be shared with groups within your organisation using role-based access.
Sharing While Saving (New Lens)
- In the Save dialog, toggle the Private / Shared switch.
- When set to Shared, a group picker appears.
- Search for groups by name and click to add them.
- Selected groups appear as chips; click ✕ to remove one.
- Click Save Lens to save and share simultaneously.
Sharing an Existing Lens
- Click the Share icon (↗) in the lens header bar.
- If the lens is already saved, a Share Lensdialog opens in share-only mode:
- The name, description, and folder fields are hidden.
- Only the group sharing controls are shown.
- Search and select the groups you want to share with.
- Click Share Lens.
Visibility Rules
| Scenario | Behaviour |

| Shared lens | Visible to the owner and all members of the selected groups |
| Admin user | Can share with any group in the organisation |
| Regular user | Can only share with groups they belong to |
Note: Admin users see an "Admin Access" badge in the sharing dialog and can search across all organisation groups.
Managing My Lenses (Settings)
All structural management of your lenses — renaming, moving, duplicating, and deleting — is handled in the Settings → My Lenses panel.
The sidebar is navigation-only. No rename, delete, or drag-and-drop actions are available there.
Accessing the Panel
- Click Settings in the sidebar footer.
- Select My Lenses from the settings navigation.
Panel Layout
The panel displays all your folders as expandable cards:
- Each card shows the folder name and a badge with the lens count.
- Click the chevron to expand and see lenses inside.
- A ⋯ (more) menu on each folder and lens provides available actions.
- A New Folder button at the top-right creates a new empty folder.
Folder Management
Folders provide single-level grouping for your lenses (no nested folders).
Create a Folder
- Go to Settings → My Lenses.
- Click the New Folder button.
- Enter a folder name in the dialog and click Create.
- The new folder appears expanded and ready for lenses.
Rename a Folder
- Click the ⋯ menu on the folder header.
- Select Rename.
- Enter the new name in the dialog and click Rename.
Delete a Folder
- Click the ⋯ menu on the folder header.
- Select Delete Folder.
- Confirm the deletion in the dialog.
⚠️ Warning: Deleting a folder permanently removes all lenses inside it. This action cannot be undone.
Lens Actions
Individual lenses within a folder can be managed via the ⋯ menu next to each lens name.

| Duplicate | Creates a copy of the lens in the same folder with a "(Copy)" suffix |
| Move to [Folder] | Moves the lens to a different folder (sub-menu lists all other folders) |
| Delete | Permanently removes the lens after confirmation |
Renaming a Lens
- Click ⋯ → Rename.
- Edit the name in the dialog.
- Click Rename to confirm.
Duplicating a Lens
- Click ⋯ → Duplicate.
- A copy is instantly created in the same folder with "(Copy)" appended.
Moving a Lens
- Click ⋯ on the lens.
- The menu shows Move to [Folder Name] for each available folder.
- Click the target folder to move the lens immediately.
Deleting a Lens
- Click ⋯ → Delete.
- Confirm in the dialog.
⚠️ This action is permanent and cannot be undone.
FAQ
Q: Can I reorder lenses or folders by dragging?
A: No. PRISM uses explicit menu actions to prevent accidental reordering. Use rename and move actions to organise your lenses.
Q: Can I create sub-folders inside a folder?
A: No. Folders are single-level only. Each folder sits at the root level of the My Lenses section.
Q: What happens if I change filters on a saved lens?
A: The modified filters are not automatically saved. You can save the new configuration as a new lens using the Save icon.
Q: Can I share a lens with specific users instead of groups?
A: Currently, sharing is group-based. To share with a specific user, add them to a group and share the lens with that group.
Q: Where do shared lenses appear?
A: Lenses shared with your groups appear in the Shared Lenses section of the sidebar, alongside the default organisation lenses.
Q: Who can see my private lenses?
A: Only you. Private lenses are not visible to other users, including administrators.
